A document's path from arrival to a record in the accounting system

  1. Document arrives

    email, messenger, CRM

  2. AI extracts data

    fields, amounts, details

  3. Data check

    cross-check with accounting systems

  4. Disputed case

goes to a person for review

  5. Result in the system

    CRM, 1C, accounting databases

What AI does with your documents

  • Data extraction

AI reads contracts, invoices, requests and acts and pulls out the key fields: amounts, dates, details, numbers.

  • Document checking

It compares the data in a document with registries, reference lists and information already entered, and flags mismatches.

  • Matching with systems

It compares a document with data in your CRM, 1C (a Russian ERP platform) and other systems, and finds inconsistencies before they reach your records.

  • Structuring information

It brings data from different documents into one format, ready to be recorded in the accounting system.

  • Passing data to work systems

Ready data goes to your CRM, 1C or another system with no manual transfer. Only the disputed cases remain.

  • Disputed cases go to a person

If AI is not sure, or the data does not match, the document goes to an employee for review instead of being posted automatically.

How we implement document processing

  1. Discovery

We study which documents you process now, where time is lost and what data is available for the task.

  2. Design

We decide which fields to extract, which systems to check against and what is left for a person to decide.

  3. Development and testing

We build the solution and test it on your documents, including non-standard cases and errors in the input data.

  4. Rollout and support

We connect the solution to your work systems, set up monitoring and stay in touch after launch.

  • When it makes sense to automate documents

    • Employees copy data by hand from contracts, invoices or requests into accounting systems.
    • Documents arrive through different channels (email, messengers, 1C) and need to be brought together in one place.
    • Errors in manual data entry happen regularly and cost more than a check would.
    • The volume of documents is growing faster than your team can process it by hand without slowing down.

Not every task needs AI: sometimes ordinary automation or an off-the-shelf product is enough. We find this out during discovery.

Which documents can you process?

Contracts, invoices, requests, acts and other documents that reach you by email, messenger, 1C or other systems. We decide which document types and channels to connect during discovery.

What happens with disputed cases?

If AI is not sure of the result, or the data differs from what is already in the system, the document goes to a person for review instead of being posted automatically.

Where is the processed data sent?

The result is written to your accounting and work systems, such as CRM, 1C or others your company already uses, with no manual transfer.

How do you handle personal data in documents?

Before work starts, we review which document fields the solution really needs. Some tasks can be solved with anonymized data. We build the requirements of Federal Law No. 152-FZ (the Russian personal data law) into the design.

How much does AI document processing cost?

We give a price after discovery of your project. It depends on the volume of documents, the complexity of integrations and the support package you choose.
